to be sent before client discusses contract with the child minder
DearClient,
Thank you sincerely for choosing our agency to assist your family with your private nanny placement. We’re delighted to be part of this important journey and are confident that Zandile will provide warm, reliable, and professional care for your household.
Placement Summary
As outlined in our recent conversation, the placement contract will be based on the agreement between your family and Zandile. You've indicated a preferred shift of 630:00 AM – 4:30PM and Zandile is happy with the times confirmed. Should you decide to adjust these hours, you're welcome to discuss this directly with her at any point.
Zandile has also confirmed she is available tomorrow for the contract discussion.
Compensation & Payment
Our standard nanny rate for the agency is (to be used as a reference point):
- R383.25 for a full 8-hour shift
Please confirm the agreed salary amount, keeping in mind that:
Due to the responsibilities of caring for two children , Zandile’s payment will differ slightly from standard single-child placements. Her salary should fairly reflect the additional care, attention, and multitasking required for this role.
Payment cycles to be discussed with Zandile , whether she will be paid on a monthly basis or weekly.
Ongoing Support
To ensure the placement is progressing smoothly, I will conduct monthly check-ins throughout the first month. These are informal and supportive touchpoints where you can share feedback, ask questions, or raise any concerns. Of course, you’re always welcome to contact me directly at any time.
A Few Important Notes for a Smooth Start
- Working Agreement: We recommend outlining a simple written agreement between your family and Zandile, covering duties, hours, pay, time off, and general expectations.
- Leave & Public Holidays: As per the Basic Conditions of Employment Act, Zandile will be entitled to paid leave and public holidays.
- House Rules & Boundaries: Clear communication about household routines, rules, and values from the start helps create a respectful and harmonious working relationship.
- Tax, UIF & Payslip Deductions :Kindly discuss whether you will be registering Zandile for UIF and whether any tax or UIF contributions will be deducted from her salary, and whether she will receive a monthly payslip.
- Uniform : Will a uniform be provided by you, or will Zandile be required to purchase one? If you have a preferred dress code, kindly share those details with her in advance.
- Routine and Expectations : Zandile will need a clear routine or schedule for both children to follow daily. This includes nap times, meal times, play activities, and any special instructions. A written outline of her daily duties would be appreciated to ensure clarity and to avoid misunderstandings.
- Notice Period & Contract Length : Please confirm the length of the placement: Is this a permanent, temporary, or fixed-term role? Should you no longer require her services, what notice period will be given? Will there be any severance or final remuneration in such a case?Zandile is committed to providing excellent care and support for your family and your children. Having these details clearly laid out at the beginning of the placement helps ensure professionalism and mutual understanding for everyone involved.
